MachLink Email Security Improvements

As stated in a customer email, part of our ongoing commitment to improvement, we will be implementing added security updates to our MachLink Email service. These updates are designed to keep your account safe and running smoothly, with added protection against spam, fraud, and unauthorized access. Below are options for MachLink customers to make a few simple changes, like updated login requirements, stronger passwords, and secure email settings.

IMPORTANT SECURITY REMINDER
1) Changes must be made by the end of July.
2) We will never ask you to click a link to change your password via email.

I Got This!

When signing in to email apps or devices, your full email address must be used as the username, including the domain:
✅ [email protected]
Using only the part before the “@” will no longer work.

To better protect your account, email passwords will be required to be 12 characters in length with the following recommendation for best practices:

Use a passphrase – Most recommended

Email connections will now require encryption when sending and receiving messages. This helps protect your emails from being intercepted while in transit.  This will impact a small number of customers who use a legacy, non-updated email software and/or non-updated computers and devices.

Email apps and devices must use secure IMAP settings to continue working properly. Most modern phones and email programs already support this, but older setups may need to be updated. Only customers using POP settings will be impacted. Step-by-step instructions can be found in our help articles.

Hello,
We know a lot of scammers try to impersonate us, but this is the real deal!  We’re making a few important updates to our MachLink email service to help keep your account more secure and reliable. These changes align with modern security standards and help protect you from spam, fraud, and unauthorized access.

  • Companies you do business with will never send you an email asking you to click a link to update your password – that is a common phishing (scam) red flag!
  • To make changes safely, always go directly to the official company website by typing the address into your browser yourself.

So, What’s Changing?
By the end of July, you’ll see four key improvements:

  • Username Requirement Update
When signing in to email apps or devices, your full email address must be used as the username, including the domain:
    [email protected]
  • Stronger Password Requirements
To better protect your account, email passwords will be required to be 12 characters in length with the following recommendation for best practices:
  • Use a passphrase – Most recommended
  • Secure Email Connections (TLS)
Email connections will now require encryption when sending and receiving messages. This helps protect your emails from being intercepted while in transit.  This will impact a small number of customers who use a legacy, non-updated email software and/or non-updated computers and devices.
  • IMAP Access Updates
Email apps and devices must use secure IMAP settings to continue working properly. Most modern phones and email programs already support this, but older setups may need to be updated. Customers using POP settings (again, a small number of customers) will be impacted.

These requirements, in combination, significantly reduce the risk of unauthorized access.

Self‑Service If You’re Ready
If you’re comfortable making these updates on your own, we encourage you to self‑service:

  • Confirm your email apps are using [email protected]
  • Update your password to meet the new requirements
  • Check and update email settings on your devices
  • Visit the Support page on our MPW website (no link provided to assure you this is not a scam email)

If you need help at any point, our HelpDesk is here for you.
